Technician utilization
The share of a technician's available hours spent on productive, client-facing work — the core efficiency metric behind an MSP's labor cost.
Technician utilization is the percentage of a technician's available working time that is spent on productive, client-facing work. In its simplest form it's productive hours divided by available hours: an engineer who logs 30 billable-or-project hours out of a 40-hour week is running 75% utilization. It's one of the most watched labor metrics in an MSP because technicians are the largest cost and the source of most revenue.
Definitions vary, and the distinction matters. Billable utilization counts only hours a client pays for. Productive utilization also counts non-billable-but-valuable work — internal projects, training, documentation. Reading one as the other is a common way to either overwork a team or misjudge capacity, so it's worth being explicit about which you mean.
Why it matters for MSPs
Utilization is the dial between two failure modes. Too low and you're paying for idle capacity; sustained too high and you're heading for burnout, cut corners, and turnover. Many MSPs target productive utilization somewhere in the 70–85% range, deliberately leaving headroom for the reactive work that can't be scheduled. The number only means anything if the underlying time is captured accurately in the first place — garbage time entry produces a confident, wrong metric.
