What an MSP software stack actually costs
Four tools most MSPs run alongside their PSA — a CRM, a marketing tool, a dashboard product and a project planner — priced for a 10-technician shop at each vendor's published monthly rate. Every number is sourced and dated. Where a vendor won't publish a price, this page says so.
| The job | What it costs, configured | Per month |
|---|---|---|
CRM & pipeline HubSpot Sales Hub Professional | $100 per seat, per month Plus $1,500 onboarding, required — not optional, not waivable on Professional Assumes 3 sales seats | $300 + $1,500 setup |
Marketing & sequences HubSpot Marketing Hub Starter | $20 per seat, per month — 1,000 marketing contacts Plus $50 per month for every additional 1,000 contacts Assumes 3 seats, 5,000 marketing contacts | $260 |
Dashboards & reporting BrightGauge (ConnectWise) | $465 per month — Enterprise, 2 data sources and 3 admins included Plus $98 per month for each data source past the second Assumes 6 data sources — PSA, RMM, backup, security, M365, finance | $857 |
Project management TopLeft · Proxuma · Moovila | TopLeft $30 per user, $80 per manager · Proxuma $20 per engineer, $60 per manager Plus $1,000 onboarding on TopLeft, mandatory. Moovila does not publish an MSP rate at all — one MSP's 2026 quote came to roughly $1,400 a month once a platform fee and annual add-on modules were counted in, so the high end of this row is several times the low end Assumes 10 technicians and 1 manager on TopLeft's published rates — the cheaper of the two vendors that publish | $380 + $1,000 setup |
| Four tools, one MSP | $2,500 in mandatory onboarding fees before anyone logs in | $1,797 |
| Current | All four jobs, 13 users at $50 each. No setup fee, no add-on modules, unlimited partner-portal viewers. | $650 |
| You keep | $16,264 in year one, setup fees included. The stack costs 2.8× what Current does. | $1,147 $13,764 a year |
US dollars, at each vendor’s monthly rate — the one you pay without an annual commitment — read from their published pricing on September 6, 2026. Current is quoted the same way. Where a vendor publishes no price, the table says so.
Product names and trademarks belong to their respective owners. Current is not affiliated with, endorsed by, or sponsored by any company named here, and none of them has reviewed this comparison. Vendor pricing changes without notice — check the vendor’s own page before relying on a figure, and tell us if one here is out of date so we can correct it.

- Capterra — Moovila — Perfect Project for MSPs is a custom-quoted plan; no per-seat rate published. Read September 6, 2026.
- Moovila / Proxuma figure — Moovila figure — approximate, and based on a quote an MSP received in 2026 covering a platform fee, the per-seat rate and annual add-on modules together. Moovila is the one vendor here that publishes no MSP rate at all, so unlike every other figure on this page it cannot be checked against a public page. It is shown as context only: the row total above uses TopLeft's published rates, not this number. Your quote will differ.
List price is not what anyone pays
Every tool here is cheaper on its pricing page than it is on your invoice, and the gap is not an accident — it is where the product is sold. BrightGauge’s plans include two data sources; an MSP that wants its PSA, RMM, backup, security and Microsoft 365 data on one screen needs six, and the four extra bill at $98 a month each. Marketing Hub Starter includes 1,000 marketing contacts; a shop with a real list is at 5,000 and paying $50 a month for every extra thousand. HubSpot’s Professional tier carries a $1,500 onboarding fee that cannot be declined, and TopLeft’s onboarding starts at $1,000 and is mandatory.
So the table above prices each tool the way an MSP would actually configure it, and shows the vendor’s published base rate next to it. The assumptions are printed in every row on purpose: if you would buy a different number of seats, sources or contacts, you can redo the arithmetic and disagree with the inputs.
The fees before anyone logs in
$2,500 of the first year is one-time onboarding — $1,500 for HubSpot Professional and $1,000 for TopLeft, both mandatory rather than optional. These rarely appear in a comparison because they are not recurring, but they are real money and they are spent before a single project is scheduled. Current has no setup fee, so the first-year difference is $16,264 rather than $13,764.
One vendor here won’t tell you the price
Every figure in the table above comes from a rate its vendor publishes — including Proxuma and TopLeft, which both price by role on their own pricing pages, and BrightGauge, whose plans and per-data-source extras are listed on ConnectWise’s site. Moovila is the exception: its MSP plan is quote-only, so there is no page to check it against.
That is why the project-management row is priced on TopLeft’s published rates rather than on Moovila’s. One MSP’s 2026 Moovila quote worked out several times higher once a platform fee and annual add-on modules were counted, and that number is noted in the row as context — approximate, from a quote, and deliberately not the basis of any total here. A figure nobody can verify should not be doing the arguing.
13 users at the published per-user rate, billed monthly, with no setup fee, no add-on modules, no per-integration charge, and unlimited read-only portal seats for your partners. The price is on the pricing page — all of it, without a call.
How this was put together
Every price was read from the vendor’s own pricing page on September 6, 2026, and a dated copy of each page is kept on file. Where a vendor publishes both a monthly and a discounted annual rate, the monthly rate is used, because that is what you pay without committing to a year. Current is quoted the same way, in the same currency, for the same 13 people. Competitor pricing changes; if you find a figure here that is out of date, tell us and we will correct it.
4 categories are priced here. They are the four jobs Current absorbs outright — the full list of what it does and does not displace is on what Current replaces.
