Resource leveling is a scheduling technique that adjusts a project's task dates to resolve over-allocation — the situation where a technician or team has been assigned more work than they can physically complete in the available time. Instead of assuming infinite capacity, leveling looks at who is actually free and shifts start and finish dates so no one is booked beyond their real working hours.
It sits next to two related ideas. Resource smoothing keeps the end date fixed and only moves work that has slack; leveling is willing to extend the schedule when demand genuinely exceeds capacity. Both answer the same question a Gantt chart alone can't: not just what order the work runs in, but whether the people exist to do it on those dates.
Why it matters for MSPs
MSP engineers are the definition of a constrained resource. The same three senior techs are split across onboarding projects, an M365 migration, and a reactive ticket queue — while also taking PTO and hitting company holidays. A project plan that ignores that produces dates nobody can hit, and the overflow lands as unplanned overtime or a slipped go-live nobody flagged in advance.
