Kaseya Quote Manager: won quotes, orders and fulfilment

Kaseya Quote Manager (formerly Datto Commerce) is Kaseya's quoting and procurement tool: quotes go out of it, the partner accepts one online, and a sales order, its payments and the purchase orders behind it follow. Current runs the same Win Quote Engine on it that it runs for ScalePad Quoter and ConnectWise CPQ. A won quote appears in front of a project manager on its own, and a few guided steps later there is a real project, real charges in Autotask, and an opportunity that has moved itself. What Kaseya Quote Manager adds on top is the part after the yes: the order, what has been paid, the purchase orders, and a bell when the hardware is actually fulfilled.

Current only reads Kaseya Quote Manager. Its API has no write of any kind, so nothing Current does can change a quote, an order, or a price there.

The money rule
Autotask stays the source of truth for every figure Current writes. Kaseya Quote Manager's own Autotask integration creates the Opportunity, the Quote and the quote items; Current reads the amounts, the costs and the line items back from Autotask, exactly as it does for a ScalePad Quoter win. Kaseya Quote Manager's own line totals come across as well, and they are what the accepted-total check on the Charges step measures your ticked lines against, and what the company record shows. Tax is left out of both, because an Autotask opportunity amount is stated before tax and the two have to compare like with like.

Autotask workspaces only
A Kaseya Quote Manager quote carries Autotask ids: the Opportunity, the Quote and the organization its own integration created. It carries nothing for ConnectWise or HaloPSA, so on those workspaces there is no way to match a win to an opportunity. The card is on the Integrations page either way, with what it does and why it is locked, and Connect appears once Autotask is connected.

Connect Kaseya Quote Manager (Tenant Admin)

Workspace → Integrations → Sales & marketing → Kaseya Quote Manager. The Integrations page sits in the Workspace section of the sidebar, so it is tenant admins and super admins only.

    1 · Connect Autotask first
    The queue is Autotask-driven and the stage pickers below read your live Autotask opportunity stages, so the card refuses to connect until Autotask is connected. Its message says exactly that and points you there.

    2 · Create the API key in Kaseya Quote Manager
    Open My account (the profile icon) → Developer API and create a key, then paste it into Current. It is checked against Kaseya Quote Manager before anything is stored and then kept server-side only, so the browser never holds it again. The API is read-only, so the key cannot change anything in Kaseya Quote Manager even in theory.

    3 · Read the first-connect check
    Connecting runs a few short reads and writes down what came back: how many employees the key can see, and whether a recent sample quote carried an Autotask Opportunity id, an Autotask quote id, an organization id and a sales order id. It records field names and counts, never a key and never a price. Read it once, because it is what tells you the matching will work on your account.

    4 · Map two Autotask stages, and set the look-back
    The two pickers are "Ready to convert", the stage a won quote's Opportunity parks at and which is what fills the queue, and "After Current converts", the stage Current moves it to after conversion and which clears it from the queue. They cannot be the same stage, or the queue would always be empty. The look-back window says how far back to scan for already-won quotes, 30 days by default and anywhere from 1 to 365. It applies on the first connect only: after that each poll picks up where the last one left off.

    5 · Optional: your web address and Teams announcements
    Enter your own Kaseya Quote Manager web address and every quote on a company record becomes a link into it. Current accepts an https address on kaseyaquotemanager.com or dattocommerce.com and refuses anything else, including a look-alike host. Under Announcements, pick a Team and a channel and Current posts there when a win lands; Send test post proves it on the same path a real announcement takes.

There is no webhook. A five-minute poll is the whole path
Kaseya Quote Manager's API has no webhooks and no events, so Current polls it every five minutes with your key and works out what changed. A win reaches the queue within a poll cycle, and a missed cycle is caught by the next one, because there is no delivery to drop. Sync now on the card runs the same pass immediately for your workspace. If the scheduled poll stalls, workspace admins get a notification naming how long it has been, and Sync health carries a "Won-quote poller (Kaseya Quote Manager)" row.

What counts as won

Kaseya Quote Manager gives a quote one of seven states. Here is what each one means to Current.

Won, or any quote with a sales order against itA win. It enters the queue and reads as won on the company record. A sales order only exists once a quote has been accepted, so an order counts as the acceptance even before the status catches up.
DeclinedA loss. A quote that was won and is later declined leaves the queue on the next poll and closes its deal lost. Declined beats a stray sales order, so a declined quote is never treated as a win.
Draft, Pending approval, Approved (ready to send)Drafts. Pending approval is waiting on an admin inside Kaseya Quote Manager before it can be sent, and Approved means ready to send. Neither is a win, and both read as a draft on the company record.
Sent, ViewedOpen, still out with the partner, and still counted as quoted money on the company record.
Sent or Viewed, past its expiry dateExpired on the company record. Nothing is closed and nothing is deleted; the row stops reading as live.
Deleted in Kaseya Quote ManagerLeaves the queue on the next poll, recorded as gone rather than lost, so nothing is closed as a loss.

Kaseya Quote Manager records no acceptance date, so Current dates a win from the sales order where there is one and from the quote's last change where there is not. Once a win date is recorded it is never rewritten.

The queue and the wizard

From here it is identical to a Quoter win, on purpose: the quote lands in the "Won quotes · ready to convert" queue on My Day, and Convert opens the same wizard — destination (project or post-sale ticket), the day-1 questions, AI plan drafting against the sold hours and your deadline, the charges step, and one Review confirm that is the first and only write. The Charges step loads the line items live from Autotask, because that is where the money is. Heads up
There is no dismiss button, here either
A quote leaves the queue when it is converted in Current, when its Opportunity in Autotask moves off your Ready stage, or when it is declined or deleted in Kaseya Quote Manager. Nobody can clear a row by hand inside Current. If a row is stuck or missing, the answer is the Opportunity's stage in Autotask or the quote's state in Kaseya Quote Manager, not a button here.

The amber banner carries the delivery block too
On the wizard's first screen, a bold amber "Internal note from Kaseya Quote Manager" banner shows the quote's private note and, under it, the delivery block: the company, contact and phone the order ships to, the address, and any delivery instruction. You have to tick "I've read this" before the wizard lets you continue, so a fulfilment-critical instruction can't be missed. A quote with neither a note nor delivery detail gets no banner and no extra step. A delivery to a warehouse, or a collection in person, is labelled as such rather than as a shipping address.

Order and fulfilment

Kaseya Quote Manager handles the procurement as well as the quote, so Current can show what happened after the partner said yes. Open a won quote from the queue and the detail drawer carries an Order & fulfilment section.

  • The sales order: its number, and whether it is draft, approved, processed or cancelled.
  • Fulfilment: fulfilled, partly fulfilled, or not fulfilled yet, with the date it was fulfilled.
  • What has been paid: the total, and how it split between on account, card and manual payments.
  • The purchase orders behind the order: how many there are, and how many are draft, approved, received or cancelled.
  • Ship to: the delivery company, contact, phone, address and instruction, the same block the wizard asked you to acknowledge.

A quote that has been accepted but has no order yet says so rather than showing zeroes. The order block refreshes on the same five-minute poll as everything else, so an order raised or paid a minute ago shows up on the next pass.

Who hears when the order is fulfilled
When Kaseya Quote Manager marks the order fulfilled after the quote was converted, Current rings the bell for the converted project's lead and for whoever ran the conversion, and drops a note on the company's timeline. The bell always fires; whether it also arrives as email follows each person's own notification setting, so there is no separate switch to find. An order that was already fulfilled before anyone converted the quote shows its status in the drawer and rings nobody, because there was no project to point at when it happened.

Every quote on the company record

Every Kaseya Quote Manager quote reaches the company record's Quotes & opportunities rail, not only the won ones: drafts, quotes still out with the partner, wins, declines and expired quotes, each with its state, its expiry and its money. Quoted money is still counted once, so a quote sitting against an open opportunity never adds to the totals twice.

Each row links into Kaseya Quote Manager once an admin has entered your web address on the card, because Kaseya Quote Manager accounts each live at their own address and the API does not report it. Without the address the quote shows as plain text. The path Current builds for that link has not been checked against a live account yet, so if a link does not land on the quote itself, the quote number on the row is what to search for in Kaseya Quote Manager.

Currency

Kaseya Quote Manager reports no currency on a quote at all, so Current reads its figures as your workspace currency and does not flag a mismatch. An unknown currency is not evidence of one. Current never converts money anywhere, and your workspace currency is set in Settings, under Workspace basics.

Limits, and the first sync

Kaseya Quote Manager allows 60 API calls a minute and Current paces itself under that, so a first connect on a large account can take a few poll cycles to work through the look-back window. Quotes appear as they are read rather than all at once, and each pass picks up where the last one left off. If more than ten thousand quotes changed since the last sync, the card says so: that run read part of them and the rest are read over the next runs. There is nothing to do — the look-back window applies on the first connect only, so changing it would not help.

Not yet run against a live Kaseya Quote Manager account
This connector was built from Kaseya Quote Manager's published API and shipped before there was an account to test it against, which is why the first-connect check records exactly what your account returned. Two readings are still to be confirmed on a live account: the exact link path into a quote, and whether a fixed-value discount on a line applies per unit or per line. Everything is built to fail safe in the meantime. A quote Current cannot read cleanly is left where it is rather than guessed at, a partial read of a page never moves the sync forward, and nothing is ever written back to Kaseya Quote Manager.

When something looks wrong

What you seeWhat it means

Open the quote in Kaseya Quote Manager and check its Autotask panel; once its integration has created or linked the Opportunity, the row moves across to Matched within about five minutes. If it's a test or unwanted quote, decline or delete it there and it leaves the list on the next poll.
The queue hasn't moved for hoursCheck the "Won-quote poller (Kaseya Quote Manager)" row on Sync health. Workspace admins are also notified when that poller stalls, so silence is not the only signal.
A won quote shows no orderEither it hasn't been turned into a sales order in Kaseya Quote Manager yet, or the order was created after the last poll. It fills in on the next pass.
Quotes show as plain text on a company recordNo Kaseya Quote Manager web address has been entered on the card. An admin adds it in the Won-quote workflow section and the links appear.
The monthly total looks lowCurrent states a recurring line per month on the line's own cadence: a quarterly line divided by three, a yearly one by twelve. A recurring line with no cadence at all is counted as monthly, and the quote's detail records that it had none.

Live billing data
Kaseya Quote Manager quotes and the Opportunities behind them live in your production Autotask, so a real conversion pushes real charges. Make your first live conversion a low-stakes internal quote. Converting is a project-management action: engineers and partner viewers never see the queue.
