Microsoft To Do two-way sync: your to-dos and project tasks

Current puts two things into your own Microsoft To Do. First, your personal to-do list — the To-dos panel on My Day — syncs BOTH WAYS with a list Current calls "Current": to-dos Current creates for you show up in Microsoft, tasks you check off in Microsoft go quiet in Current, and a check-off in either place clears it in both. Second — new — every project task assigned to you shows up in a separate list called "Current Projects", so the work you're actually responsible for delivering is in the same app as your reminders, your phone, and Outlook. That project list is deliberately ONE-WAY (Current → To Do): it shows and clears your tasks, but checking one off there never completes the real task. This article covers both.

It is a per-person integration, not a workspace-wide one. Each user connects their own Microsoft account, and the sync only ever touches that person's tasks using that person's own sign-in. Nobody — including a manager or an admin — reads anyone else's to-dos through this feature.

Turn it on

    Open Settings and connect Microsoft 365
    On Settings, the Microsoft Teams & Calendar card has a Connect Microsoft 365 button. You are taken to Microsoft to approve access. There is no separate sign-in for To Do — it rides the same connection that powers Teams mirroring and calendar sync.

    Make sure to-do access was approved
    The connection needs Microsoft's delegated Tasks.ReadWrite permission. If it was never granted, Current quietly skips your to-do sync and flags the connection with: "Microsoft hasn't granted Current to-do access yet. Reconnect Microsoft 365 (or ask an admin to re-approve it)…" Reconnecting after your admin approves the permission is enough — nothing else to configure.

    Pick which To Do lists sync
    Once connected, a Microsoft To Do lists card appears in Settings. Tick the lists you want in Current. If nothing is listed yet, press Sync now — the first sync discovers your lists.

    Check My Day
    Your synced tasks land in the To-dos panel alongside your Current to-dos, each tagged with a Microsoft badge. Click a task to expand it and see which Microsoft list it came from — the detail shows "List: <name>". The refresh icon in that panel's header pulls from Microsoft on demand.

Which lists sync, and the "Current" list

The very first sync inventories your To Do lists and selects only Microsoft's built-in default list (it carries a "syncs by default" badge in Settings). Every other list — including shared and team lists, marked with a Shared badge — starts unticked, so a teammate's tasks never flood your panel. Tick more lists whenever you want; your choice takes effect within moments.

In the other direction, personal to-dos that originate in Current are pushed into a To Do list named Current. Current creates that list once in your account (or reuses one you already have with that name) and puts every pushed to-do there. Your assigned project tasks are kept separate, in their own "Current Projects" list — see "Your assigned project tasks" below.

Unticking a list removes its tasks from Current
When you unselect a list, the next sync deletes that list's imported tasks from Current. Your Microsoft copy is untouched — nothing is deleted in Microsoft To Do. Tick the list again later and it re-imports cleanly from scratch.

Times are handled in UTC
When Current writes a date to Microsoft it sends the exact UTC timestamp and stamps the time zone as UTC, so Microsoft stores the instant you meant and To Do shows it at your local time. On the way in, Current reads Microsoft's To Do timestamps as UTC.

Conflicts, deletes, and history

  • Completion conflicts are resolved by most-recent-edit-wins. If a task was completed in Microsoft since Current last saw it, Microsoft's answer is taken; if Current holds a check-off Microsoft hasn't seen, Current's answer is kept and pushed out.
  • An edit you made in Current that hasn't reached Microsoft yet is never overwritten by an incoming sync — it stays queued until the push carries it.
  • Delete a task in Microsoft To Do and Current marks it done rather than erasing it. It drops out of your active list and lives under the "Show completed" reveal at the bottom of the panel.
  • Current never hard-deletes a to-do out of your Microsoft account. A synced to-do you clear in Current is completed in Microsoft — the data stays in your mailbox.
  • Any Microsoft task Current sees for the first time that is already completed, and was completed more than 30 days ago, is never imported — on the first sync, and on any later sync (including when you re-tick a list and it re-imports from scratch). That keeps a long-running To Do account from dumping years of finished tasks into My Day. Tasks Current already knows about keep updating no matter how old they are.

What creates Current to-dos for you

Anything Current puts on your to-do list flows out to Microsoft To Do on the same rails:

  • The quick-add box at the top of the To-dos panel (title plus an optional due date).
  • A Follow up on a company record — prefilled "Follow up: <company>", due three days out by default, and assignable to a teammate. See "The company record: your single view of every account".
  • A task step in a sequence, which creates the to-do for whoever enrolled the contact.
  • A new website lead: "Contact <lead> within 2 hours", due and reminding two hours out, for the person it routed to.

Note
Follow-ups you assign to a teammate
A follow-up assigned to someone else is delivered by their sync, not yours — Current only ever writes to a person's Microsoft account with that person's own connection. If they haven't connected Microsoft 365, the to-do still waits for them in Current.

Your assigned project tasks: the "Current Projects" list

Separate from your personal to-dos, Current mirrors the project tasks assigned to you into a second Microsoft To Do list called "Current Projects". This is on by default the moment you connect Microsoft 365 — there is nothing extra to switch on. Every open task assigned to you, on a project that is still active, gets a matching item in that list: the task name as the title, the project name and a link back to the task in the body, and the task's end date as its due date. Completed tasks, unassigned tasks, and tasks on archived projects don't appear.

  • This list is a one-way, personal view: it mirrors your Current tasks, but nothing you do in it changes the real task. Marking a task done in Current — or on your PSA — checks it off here automatically. Checking one off here does NOT complete it in Current, and never flows a completion to your PSA.
  • If you check a task off here while it's still open in Current, Current quietly brings it back titled "(Still open in Current — see notes)", with a note that it isn't done and how to finish it: mark it done in Current, or extend its due date there. Nothing was completed — the note just makes that clear.
  • Complete or reassign the task inside Current and its "Current Projects" item updates to match on the next sync — a done task is checked off in To Do, and a task that's no longer yours (reassigned, or on a project that gets archived) drops out of the list.
  • The body carries a link straight back to the task in Current, so a task in your To Do list is one click from its full project context.
Heads up
Deleting a project task from To Do never deletes the real task
This is the one important difference from your personal to-dos. If you delete an item from your "Current Projects" list, Current does not touch the underlying project task — it stays in the project, still assigned to whoever owns it. All that happens is it stops mirroring into your To Do list. (Your personal "Current" to-dos behave differently: deleting one of those in Microsoft marks it done in Current, as described above.) A project task is shared project work, so no action in your private To Do list can remove it from the plan.

The two lists are independent
The "Current" list (your personal to-dos) and the "Current Projects" list (your assigned tasks) sync on the same Microsoft connection but stay separate lists in To Do, so it's always clear which is a personal reminder and which is real project work. Both turn on together the moment you connect Microsoft 365.
