Syncro estimates and quote-agnostic conversion
Current's win-quote engine is quote-agnostic: a won quote from ScalePad Quoter, ConnectWise CPQ, Kaseya Quote Manager, HaloPSA or Syncro walks into the same wizard and comes out as a project, a ticket or a contract task. This is the Syncro half of it.
Requirements
- +Syncro connected, with the token's group carrying Estimates: List/Search, View Details and Edit, plus Products: List/Search.
- +Product categories set up in Syncro, because that is what tells Current which estimate lines are recurring, one-time or labour.
- +Project manager or above to open the queue. Engineers and partner viewers never see it.
How wins are detected: polling, on purpose
Syncro estimates carry four statuses: Fresh, Draft, Approved and Declined. Approved is the win signal and the only one, whether the customer approved it in their portal or someone on your team accepted it for them. Current polls for changed estimates rather than waiting for a webhook, so a win shows up within a poll rather than instantly.
- +Every estimate, whatever its status, is mirrored onto the company record so the quote history is there to read.
- +An Approved estimate joins the won-quote queue.
- +An estimate that was queued and is then Declined marks the quote lost and closes the linked deal as lost.
- +An estimate deleted in Syncro leaves the queue quietly. A deletion is not a loss, so no deal is closed.
The queue and the wizard
Won quotes collect in Sales, Won quotes. Open one and the wizard asks what the work is: a project, a ticket, or a contract task. It carries the customer, the lines and the totals across, matches the estimate to an existing deal where there is one, and creates the work in Current and in Syncro in the shape you chose. A project becomes a parent ticket with child tickets; a ticket becomes a ticket.
Line kinds: the product-category rule
A Syncro estimate line carries a product, not a recurring or labour flag, so the wizard needs one piece of setup from you. On the Syncro card, the Quote line kinds section lists your product categories and asks which are recurring, which are one-time and which are labour. Save it once and every future estimate classifies itself, which is what lets the wizard split a quote into monthly revenue, a one-time charge and the hours to schedule.
A mapped category always wins. Until you have mapped anything, Current reads the line's own wording instead, so a line that reads like a subscription comes through as recurring and one that reads like labour comes through as hours, which is what makes the wizard usable on the first quote. Once you have mapped your recurring categories, a line whose category is not on that list is no longer read as recurring, so map them in one sitting rather than a few at a time, and check the split on the first quote you convert.
Charges on the parent ticket
When the wizard adds charges, they go onto the ticket as line items, and Current reads what is already there first. A charge that matches an existing line by name, quantity and price is adopted rather than added again. Syncro's add-line call has no idempotency key, so a blind retry would bill a customer twice: every charge either settles as sent or as failed with the reason, and the Retry button re-sends only the ones still waiting or failed.
After you convert
- +The quote is marked handled and leaves the queue.
- +A still-open estimate is set to Approved in Syncro, read back to confirm Syncro stored it, and left alone if it was already Approved.
- +Current never declines an estimate on a customer's behalf. Approved is the only status Current writes.
- +The matched deal is closed won and commission is calculated, because a person made that decision in Current.
