Turn AI writing tools on or off, and teach the transcriber your names

AI writing tools is a card in Settings, in the Workspace group. It holds one switch and one box: whether Dictate and Enhance appear at all in this workspace, and the names and terms you want the transcriber to spell right.

It is on from the day a workspace is created. Only a Tenant Admin can change it; everyone else sees the state and a line saying an admin owns it.

Switching it off takes the Dictate and Enhance buttons off every box, for everyone in the workspace, at once. A page somebody already had open loses them on its next load, and in the meantime the server refuses the request anyway, so there is no window where one person still has working buttons.

Nothing already written changes. Text that was dictated or enhanced is text, saved like anything else typed into that box, and it stays exactly as it is. Switching back on brings the buttons back, with nothing to restore.

Speech-to-text guesses at words it has not met. Your partners' names, the products you sell, and the shorthand your team says all day are exactly the words it guesses wrong, and this box is how you fix that. The terms in it are sent with the audio as a spelling hint on every dictation in this workspace.

Write them one per line, or separated by commas, up to 2,000 characters; a counter under the box shows what is left. What belongs in it:

• ＋The partners you talk about most, spelled the way you would write them on an invoice.
• ＋Product and service names you sell that are not household words.
• ＋The internal shorthand your team says out loud: the name of a queue, an onboarding pack, an office or a site.
• ＋A colleague whose name is spelled unusually.

Two things it does not need. Current already knows this industry's vocabulary, including the three PSAs it connects to (Autotask, ConnectWise and HaloPSA) and the RMM, backup and security products it integrates with. And your own company names come along on their own, taken from the companies your workspace has been active in recently.

Keep it to names and terms. It is a list of words rather than an instruction to the writer, so a sentence written in there changes nothing about how text is rewritten. Nothing secret belongs in it either: it travels with every dictation, and anyone in the workspace who opens Settings can read it.

It does not choose a model, set a budget, or change how a rewrite is worded. Those sit with the platform administrators at ITPartners+, who tune the prompts and the models behind the tools for everyone.
