How often does Current sync? Every schedule, in one table
This is the most-asked question in onboarding, so here is the whole answer in one place: what refreshes, how often, and what you can do when you need something faster. Two clocks run in Current. The sync clock keeps your data current — it ticks in minutes. The AI clock reads that data and writes something about it — it ticks on a daily or twice-weekly rhythm, on purpose.
The sync clock: minutes, not hours
Everything below runs on its own timer in the background. You don't schedule any of it, and there's nothing to turn on — connecting an integration is what starts its clock.
| What | How often | Notes |
|---|---|---|
| Autotask incremental pull | Every 5 minutes | Pulls only what Autotask reports as changed since the last run — projects, phases, tasks, tickets, and time entries. This is why your board is fresh within a poll cycle. |
| ConnectWise PSA incremental pull | Every 5 minutes | The same delta rhythm against ConnectWise, asking only for records updated since the last pass. Whichever PSA you run, only its clock ticks. |
| Autotask reference and enrichment pull | About every 6 hours | The slower-moving set: resources, billing codes, holidays, approved time off, appointments, companies, contracts, opportunities, notes, and project charges. These change rarely, so re-scanning them every 5 minutes would just burn API budget. |
| PSA push (time, dates, status) | Seconds | Queued the moment you save, then confirmed by reading the record back. See "What Current writes back to Autotask (and when)" or "What Current writes back to ConnectWise (and when)." |
| Sync queue drain | Every 5 minutes | The durable backstop for anything queued — one drain per PSA, on the same 5-minute rhythm. Retries with exponential backoff and dead-letters after 5 failed attempts. |
| Background refresh while you're in the app | At most once every 10 minutes per workspace | Current quietly re-pulls your workspace's changes while someone has it open, debounced so twenty open tabs can't stampede your PSA. |
| CRM email sync (your Microsoft 365 mailboxes) | Every 5 minutes | Inbox and Sent Items, matched to known CRM contacts only. See "Which mailboxes sync to the CRM — and how to exclude one." |
| Meetings from Microsoft 365 calendars | Every 15 minutes | Meetings with CRM contacts land on the company timeline. |
| Teams comment mirror (outbound) | Real-time | Posts to the project's Teams channel as the comment is saved. |
| Teams replies pulled back (inbound) | Every 3 minutes | A reply typed in Teams comes back into the project conversation. |
| Calendar push | Real-time | Fires on task date changes. |
| Microsoft To Do | Every 3 minutes | Two-way with your personal to-do list. |
| ScalePad Quoter won-quote poll | Every 5 minutes | Plus an immediate webhook when Quoter fires one. See "ScalePad Quoter: turn won quotes into projects and charges." |
| ConnectWise CPQ won-quote poll | Every 5 minutes | Polls your ConnectWise for opportunities newly sitting at your won statuses — CPQ has no webhooks at all, so polling is the whole path. See "ConnectWise CPQ: turn won quotes into projects and charges." |
| ConnectWise RMM device sync | Every 6 hours | Sites, devices, and patch posture — read-only, feeding company records and business reviews. See "ConnectWise RMM: devices, patch posture, and your business reviews." |
| ScalePad Lifecycle Manager | Hourly | Assets, warranty, budgets, initiatives, goals, insights. |
| CrewHu CSAT surveys | Every 15 minutes | A negative survey can raise its own alert as soon as it lands. |
| HubSpot keep-in-step | Every 10 minutes | While a two-way HubSpot connection is active. |
| Email verification results | Every 5 minutes | Polls NeverBounce for finished verification jobs. |
| Sequence steps | Every 5 minutes | The executor sends due emails, creates due tasks, and sweeps exits. |
| Campaign sending | Every 5 minutes | Plus an immediate kick the moment you queue a campaign, so the first batch doesn't wait for the tick. |
| Booking reminders | Every 5 minutes | Reminder emails for booked meetings. |
| Notification emails (the prompt tier) | Every 5 minutes, weekdays only | Assignments, mentions, comments, health drops. The in-app bell is always real-time — only email is batched. |
The AI clock: a rhythm, not a firehose
The AI reads the data the sync clock keeps fresh, then writes something a human is meant to read over coffee. Times below are the schedule the jobs actually run on, with the Eastern equivalent during daylight saving. The chain is deliberately ordered — each job consumes the one before it.
| What | When | What it produces |
|---|---|---|
| Signal ledger rollup | Daily, 06:40 UTC | The deterministic daily counts per company — tickets opened, hours logged, meetings, licensed seats, and Current Score — that the AI reads later as evidence. |
| Project AI insights (Radar) | Daily, 07:07 UTC | A summary, a trend, and evidence-backed risks for every active project. |
| Project digest email | Daily, 09:00 UTC (backstop 11:00 UTC) | One email per person covering only their worsening projects. Weekends are skipped. |
| Company AI read | Monday + Wednesday, 08:00 UTC (≈4am ET) | The per-company health read: summary, highlights, sentiment, suggested actions. |
| Company read catch-up sweep | Monday + Wednesday, 10:30 UTC | Self-healing: a no-op when the 4am run finished, drains the remainder when it didn't. Each scheduled run refreshes every company that hasn't been read since that run began, so a manual refresh the night before can no longer cancel it. |
| Sales coaching insights | Monday + Wednesday, 11:30 UTC | Runs after the catch-up sweep, so coaching is always built on a complete set of company reads — even on a morning the 4am run failed. |
| Morning brief compose | Daily, 09:30 UTC | Builds each seller's brief. Daily, because the in-app brief card should track each day. |
| Morning brief re-compose | Monday + Wednesday, 12:00 UTC | Rebuilds the brief on the repaired reads and the fresh coaching, so the 9am email is never a day behind. |
| Morning brief email | Monday + Wednesday, 13:00 UTC (≈9am ET) | The email lands the same mornings the insights are freshly regenerated. |
| Weekly task digest email | Monday, 8am ET | Your overdue and due-this-week tasks, grouped by project. |
| Partner portal digest | Monday, 12:00 UTC (backstop 14:00 UTC) | The weekly progress note to partners on the portal. |
| Teams standup post | Weekdays, 12:30 UTC (8:30am ET) | Posts the project standup into its Teams channel. |
How to get something sooner
- 1Force a full PSA pullIntegrations (in the Admin section of the sidebar) → your PSA's card → Sync now runs an immediate, ordered full pull for your workspace and reports what it found, entity by entity. On a very large workspace it may report a partial result and tell you "Large workspace — click Sync now again to finish the rest" — that's the wall-clock guard, not a failure.
- 2Re-read one projectOn the project page, the AI Overview panel has an Analyze button (Refresh once it has content). Project managers and admins can run it; it re-reads that project's tasks, tickets, notes, and comments on the spot.
- 3Re-read one companyOpen the company record and use the refresh button on its AI insight card. Repeat refreshes are throttled server-side to one every two minutes so nobody can accidentally hammer it.
- 4Rebuild today's morning briefThe refresh control on the morning brief card regenerates your own brief for today and un-hides any bullets you'd ticked off.
- 5Run an integration on demand (where it exists)ScalePad — both the Quoter and Lifecycle Manager tiles — and CrewHu have a Sync now button on the tile (CrewHu also offers a full re-sync). HubSpot is different: it has no Sync now, and its import is run from the HubSpot import page. NeverBounce has no Sync now button. You start verification yourself from the enrichment panel (single checks and small batches return results on the spot); only large verification jobs hand off to NeverBounce, and their results are picked up by the 5-minute poll.
