Set up work types and billing codes on projects

Where the billing code, work type, role and contract on project time come from for each PSA, how Log time fills them in, and how to change them, including on a project or ticket made from a won quote.

Current doesn't keep its own list of billing codes or work types. It reads the lists from your PSA, so what Log time offers is what your PSA has. To add, rename or retire a code, change it in your PSA; the next sync brings the change in.

What your PSA calls them

When your PSA's lists haven't synced yet, Log time asks you to run a sync. Role, contract and work type show only when your PSA has entries for them, and a field is required only when its list has entries. Internal time doesn't ask for any of them. Time can't be logged on a Current-only project (see below).

Projects and tasks have no default of their own

There's no billing code or work type setting on a project or a task in Current. What Log time fills in comes from your PSA's own records and from your recent entries:

  • On Autotask, the contract starts on the one Autotask has on the project.
  • On Autotask, the role starts on your own role on the task in Autotask, when the task is assigned to you.
  • Otherwise the contract, role, billing code and work type start on your last entry on the same project. On a project you haven't logged time on, the billing code starts on the last one you used anywhere.
  • On Syncro, the labor product starts on your workspace's default labor product when one is saved.

In a workspace that runs its tickets in Current, the billing code and work type follow a different order instead: your last entry on the same task or ticket, then the billing code the task carries in Autotask, then your last entry for the same company, then the default for the time category you picked. A line under the field says which one it used, for example "Prefilled from this task's billing code." Each time category's default is set in Settings › Projects and time › Time capture.

Every pre-filled value can be changed before you save, and a value you picked yourself is never replaced. A task's own billing code in Autotask changes only in Autotask.

When Log time won't save

  • A required field is empty. When your PSA needs a role, the form says so under the fields.
  • The project is Current-only, the task hasn't reached your PSA yet, or you aren't linked to a resource in your PSA. A Tenant Admin links people in Users and roles.

Projects and tickets made from a won quote

  • A converted project gets no billing code or work type of its own. Time on it fills in the same way as on any project. The won-quote wizard sets how the labor bills instead: on a Fixed fee project, the time your team logs is sent as not billable. See "Labor billing on won quotes: fixed fee, time and materials, or already covered".
  • A post-sale ticket has a Work type field in the wizard, when your PSA returns the list. It starts on the Post-sale work type saved in the Won quotes section of your PSA's card in Settings › Integrations. With none saved, it starts on a work type named Fixed Fee if your PSA has one. You can change it before converting. Leave it on your PSA's default and the ticket takes the default your PSA applies.
